The day-to-day and the books, in one place.

Staff work in the app. The ledger keeps itself.

  • Orders

    Store orders arrive on their own and become invoices. Cash-on-delivery orders stay open until the cash is in.

  • Invoices

    Send invoices, record payments against them and see what is overdue.

  • Payments

    Cash goes to the cash account, card and online payments to undeposited funds, each against its invoice.

  • Expenses

    Record an expense and it is booked to the matching expense account.

  • Inventory

    Products and stock by warehouse, with a daily alert when items run low.

  • Staff

    Staff accounts with roles. Admins see the books; everyone else works on the sales side.

Cash first

Built for the drawer, not the bank feed.

Most bookkeeping starts from a bank connection. Run Numbers starts from the cash.

  • Every place cash sits is its own account: each drawer, the safe, a driver’s float.
  • Count a drawer and Run Numbers compares it with what the books expect. Any over or short is booked to Cash Over and Short, once per drawer per day.
  • Move cash from the drawer to the safe, or from the safe to the bank, in one step. The same move never books twice.
  • Cash on delivery stays a receivable until the driver hands the cash in.
  • No bank feeds needed. No bank logins to hand over; the bank is just another account cash moves into.

Real books

Double-entry books underneath, not a spreadsheet.

Invoices, payments and expenses post themselves into a full double-entry ledger. Each entry carries a reference back to where it came from, so nothing books twice.

  • Reports: profit and loss, balance sheet, general ledger, trial balance, receivables aging and inventory valuation.
  • Locked periods, so a closed month stays closed.
  • Your accounts: each business can send sales, cash, card payments and each expense category to the accounts it wants.
  • Books at a glance on the dashboard: income, expenses and net for the month so far, cash by place, and what customers owe.

Store connections

Your online store feeds the books.

Orders come in by webhook and land as invoices and payments, with the same rules as the counter.

  • WooCommerce

    Orders arrive by signed webhook and become invoices. Paid orders bring their payment, cash on delivery stays open, and a cancelled or refunded order voids its invoice, or leaves a credit note if it was already paid.

  • Shopify

    The same flow for Shopify orders, each one checked against your app’s shared secret before it is taken in.

  • Klaviyo

    Add your Klaviyo key and every order placed, paid or cancelled shows up as an event on the customer’s profile.

Alerts for what matters, and nothing on the lock screen you don’t want there.

Run Numbers installs from the browser to your home screen. Turn on push alerts and choose which ones each phone gets.

The chat is in development: ask in plain words what is in the safe, what is overdue or how last week went, and have Run Numbers draft the entry for you.

The gate it goes through is built and working today:

  • Every change is a draft first, showing exactly what will be booked, to which accounts, for how much.
  • Nothing posts until the owner confirms. Unconfirmed drafts expire after 15 minutes.
  • A draft sends a Needs-approval alert to the owner’s phone.
  • Drafts today cover payments against invoices, drawer counts and cash moves.

Privacy

Nothing phones home.

No analytics, telemetry or tracking in the app, and none on this site. Run Numbers reaches the outside world only for what a business switches on: its store connections, Klaviyo, email, and the push service that delivers its alerts.

Open source

Open source, all of it.

Run Numbers is built on two open-source projects: Ever Gauzy, for the app (sign-in, staff, customers, invoices), and Bigcapital, for the books. Both are licensed under the GNU Affero General Public License v3, and so is Run Numbers. The source of every version we run is on the source page for anyone to download.
